Tahawul Program: Update on KAUST’s digital transformation

Dear Colleagues,

The Tahawul program is a digital transformation initiative that aims to modernize KAUST’s systems to empower its workforce and student community with speed, automation, and a world-class experience. 

The program is underway, with a clear scope and expert vendors, and the team is currently building up the systems, which are planned to go live by the end of 2023. Through this digital transformation, the Tahawul program aims to utilize the latest technological innovations in the market to minimize operational costs and work towards supporting Saudi Vision 2030. 

The program will establish process improvements and harmonization across the University and enable strategic plans to be implemented using the latest integration and automation technologies to streamline business processes.

To achieve these goals, the following systems will be launched: 

  • The new core HR system, which will be called HR Connect (built on SAP SuccessFactors Employee Central), will feature several new capabilities, including mobile apps for managing your digital HR services, such as leave requests.
  • SAP S/4HANA (migrating from the current Legacy SAP ECC6 environment) will allow us to benefit from greater integration of systems and functions across the University.
  • A new KAUST Portal (built on the SAP Cloud Platform) that enables you to easily see all digital services available.
  • A new procurement system called SAP Ariba for improved vendor and contract management.

How will this impact your daily life at KAUST?


HR Connect

The new core HR system will enable additional transparency to all stakeholders of HR processes, foster a better user experience, and bring new functionality, such as:

For Employees:

  • A native mobile application will allow easy submission and approval of requests from your mobile phone. 
  • Employees will have enhanced visibility of their data and more self-service options.
  • New leave types will provide additional options for employees, such as half-day vacation, sick leaves and more.

For People Managers and Business Managers:

  • Simpler and cleaner workflows provide sufficient information to the concerned parties.
  • People Managers will have a better overview of their team.
  • Business Managers have more control over the processes in their areas.
  • Better notifications and alerts to improve awareness among relevant stakeholders.

For everyone listed above:

  • Reduction in data entry required to manage processes and changes.
  • Instant updates within HR Connect for end users.
  • Enhanced operational reporting for different stakeholders.

Ariba Procurement

  • Fewer system interfaces for a more simplified user experience.
  • Faster, more accessible reporting.
  • Approvals will be available on multiple platforms.
  • Suppliers can submit invoices directly into the system, rather than by emailing Accounts Payable.
  • Faster vendor registration.
  • Easier service entry sheets.
  • E-Bidding, Vendor Management and standardized procurement processes for KAUST.

SAP S/4HANA Cloud Platform

  • Enhanced workflow stability.
  • New and improved integrations between different KAUST systems.
  • Technology enablement to fully integrate end-to-end business processes.
  • Swifter and more efficient data analytics in real-time.
