Please be reminded of the process in place for requesting personal visitors to KAUST:
KAUST employees can submit personal visitor requests online via the KAUST Portal. Please follow these instructions to use the system.
For non-KAUST employees who live inside KAUST, requests can be made by completing this form and emailing it from your business email account to the Visitor Center at visitorcenter@kaust.edu.sa.

Each time I use this system they tell my visitors that they did not received any request, and when the visitora tell them that the request sent using the portal they will request the control ID. I think they have first to consider this system in their checking.

Please note that the VMS generated control number is used to identify the host easily and quickly.
However, if your visitor did not have the control ID, then the operator may ask for KAUST ID or full name of the host in order to proceed with process.
we recommend to provide your visitor with the control number so minimal waiting time is needed for the access of your visitor.

I thought that this system would simplify the process. However, on the past two occasions that I have used this I have never received an email response to advise that the visit has been authorised. I have on both occasions submitted the request more than 24-hours prior to the arrival of my visitors.
The second visit request was almost 36-hours in advance and although I did receive the request number (which was duly emailed to my visitor) at no point was the follow up confirmation email received.
This leads me to believe that the process is not being monitored by anyone and that the details are only looked up on arrival of the visitor!!

Please note that Visitor Management System (VMS) generates an automated E- mail which is sent to the host only that contains a control number to be presented on arrival of your guest at the visitor center.
Our operators then will verify visitor documents and status of the host then an authorization to access is granted.
